CDBG (Community Development Block Grant) SECRETARY
PURPOSE: To perform reception and referral program registration tasks and general clerical functions. The employee is responsible for answering phones, email and other communications methods, typing correspondence, keeping records and files in order, and other duties assigned by the Economic Development Director, Community Development Coordinator or City Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Answers the telephone; records and relays messages; directs calls to proper personnel; Provides general information, program requirements, and standards of eligibility for services; Maintains a calendar of appointments, meetings, hearings, conferences and inspections; Maintains efficiency in the office; Assists citizens desiring services in city departments, such as Code Enforcement, Permits, and Emergency Assistance; Communicates with city personnel in various departments; Distributes information to and registers applicants, including external organizations and citizens for services rendered by the department; Assists with the monitoring of individuals and organizations as to compliance with programmatic and policy requirements; Records information; prepares and maintains files on contacts and clients; Compiles periodic activity reports as instructed by the Economic Development Director, CDBG Coordinator, or his/her designee. Performs other related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of standard office procedures; Verbal communication skills to communicate with general public and other professionals; Writing skills to correspond with applicants and professionals in related fields; Math skills to perform cost estimates and determine eligibility; Reading skills to understand work related rules, regulations and materials; Ability to write clear, concise reports; Ability to work independently and make appropriate decisions; Willing to work nonstandard hours; Willing to travel to attend meetings and conferences.
MINIMUM QUALIFICATIONS: High School Diploma and one year clerical experience. Possess a valid Alabama Driver’s license.
MINIMUM/MAXIMUM ANNUAL SALARY: $26,258.77 - $39,972.69
